Automatic Rental Product Import Setting Up Automatic Rental Product Import Automatic Product Import adds newly created Shopify products to your Rental Products list for you, no manual importing required. Once.

Setting Up Automatic Rental Product Import

Automatic Product Import adds newly created Shopify products to your Rental Products list for you, no manual importing required. Once it's enabled, any product you create in Shopify with your chosen Product Type is added to your rental catalogue automatically, using your store's default rental settings.

Before you start

- Pick a Shopify Product Type for your rentals. The workflow watches one Product Type (for example, `Dress Hire`). The type must already exist on at least one product in your Shopify store so it appears in the dropdown.
- Matching is exact. A product is only imported if its Product Type matches your chosen type exactly, including spelling and capitalisation. `Dress Hire` and `dress hire` are treated as different types.
- Only new products are imported. The workflow applies to products created *after* you enable it. Products that already exist in Shopify are not picked up, use Import Products to bulk-import those instead.

How to enable it

1. In the app, open Settings and scroll to the Automatic Product Import card.
2. Tick Enable automatic product imports.
3. Under Shopify Product Type, choose the product type you want to watch (for example, `Dress Hire`).
4. Click Save automatic import workflow.

The status line under the dropdown confirms your setup. When active, it reads:

> Enabled for new products with the exact type: Dress Hire

If it still says "Automatic product imports are disabled," the workflow hasn't been saved, check that the checkbox is ticked and a product type is selected, then save again.

How it works

From now on, whenever you create a product in Shopify:

1. Shopify notifies the app that a new product was created.
2. The app checks the product's Product Type against your saved type.
3. If it's an exact match, the product is added to Rental Products automatically.

Each auto-imported product starts with your store's default rental settings, duration mode and durations, stock method and inventory count, bond, cleaning fee, and calendar window. You can open any product in Rental Products afterwards and override these settings individually.

What is skipped

The workflow will not import a product when:

- Its Product Type doesn't exactly match your chosen type (or has no type set).
- It's already in your Rental Products list, duplicates are never created.
- It's one of the app's internal helper products (refundable rental bond, cleaning fee, insurance, or rental add-on items).

Tips

- Set the Product Type before saving the product in Shopify. The check runs when the product is first created, so make sure the type is filled in on the new-product form.
- Renamed your product type? Update the workflow to match: choose the new type in the dropdown and save the workflow again.
- Products created before enabling the workflow can be added in bulk with the Import Products tool on the same Settings page.
- Want to add rental duration options to the Shopify product too? After products are imported, use Add Duration Options to Shopify Products to add the Duration option to matching products.

Turning it off

Untick Enable automatic product imports and click Save automatic import workflow. New Shopify products will no longer be added automatically. Products that were already imported stay in your Rental Products list.

FAQ

I created a product but it didn't appear in Rental Products. Why?
Check that (1) the workflow is enabled and saved, (2) the product's Product Type exactly matches the saved type, including capitalisation, and (3) the product was created after you enabled the workflow. Products created before enabling must be imported with the Import Products tool.

Does this change anything on my Shopify products?
No. Automatic import only adds the product to the app's rental catalogue. Your Shopify product, its variants, and pricing are untouched.

What settings do auto-imported products get?
Your store-wide defaults from Settings (durations, inventory, bond, cleaning fee, etc.). You can override any of them per product afterwards.

This Privacy Policy applies to:

- merchants who install or use the App
- customer data processed through the App on behalf of merchants
- visitors or customers who submit booking or try-on information through merchant storefront experiences powered by the App

## 1. Scope

The App helps merchants manage dress rentals inside Shopify. Depending on how a merchant uses the App, the App may process rental booking data, try-on appointment data, customer contact details, delivery details, order-linked rental records, product and inventory settings, and merchant configuration data.

When we process customer personal data through the App, we do so to provide services to the merchant that installed the App.

## 2. Information We Collect

### 2.1 Information we collect from Shopify

When a merchant installs and uses the App, we may receive information from Shopify, including:

- store domain and store identifiers
- Shopify order data related to rentals
- customer data made available through approved Shopify scopes, such as customer name, email, phone number, and order-linked address information
- product, variant, publication, and inventory data
- webhook events related to orders, refunds, app status, and privacy compliance requests

### 2.2 Information merchants enter into the App

Merchants may provide or create information such as:

- store name, logo, business name, brand settings, and configuration settings
- booking rules, delivery settings, pricing settings, insurance and upsell settings
- manual bookings and staff notes
- try-on booking rules, appointment location, and scheduling settings

### 2.3 Information collected from merchant customers through storefront or booking flows

Depending on which features a merchant enables, the App may collect:

- customer name
- email address
- phone number
- delivery and billing address details
- Instagram handle
- booking notes
- booking dates, try-on dates, and appointment selections
- uploaded identification images or files when the merchant uses that feature

### 2.4 Technical and operational information

We may also process:

- app usage and configuration events
- server logs and error logs
- webhook payloads
- support communications sent to us by merchants

## 3. How We Use Information

We use information processed through the App to:

- create and manage rental bookings
- create and manage try-on appointments
- sync rental activity with Shopify orders, refunds, and booking-related events
- manage delivery, return, and booking administration workflows
- calculate availability, inventory allocation, rental profit, and related operational reporting
- send booking and try-on related communications when configured by the merchant
- provide merchant support and troubleshoot App issues
- comply with legal obligations, Shopify platform requirements, and privacy-related requests

We do not use customer personal data collected through the App for unrelated advertising or merchant-independent marketing purposes.

The App does not sell customer personal data, use it for cross-context
behavioural advertising, or use personal data to profile or score customers for
automated decisions that have legal or similarly significant effects.

## 4. Why We Process Customer Personal Data

We process customer personal data only as needed to provide the App's rental and appointment functionality to the merchant, including:

- identifying the correct customer for a booking or try-on
- managing booking schedules and inventory availability
- handling delivery and return workflows
- supporting customer service actions performed by the merchant
- maintaining order-linked rental records

## 5. Sharing and Disclosure

We do not sell customer personal data collected through the App.

We may disclose information:

- to Shopify as part of the App's integration with Shopify services
- to infrastructure and service providers that help us operate the App
- when required by law, regulation, court order, or valid legal process
- when necessary to enforce our agreements, protect rights, investigate fraud, or address security issues

Current service providers may include:

- Render, for application hosting and managed PostgreSQL database services
- Resend, for email delivery services when booking or notification emails are sent through the App

Merchants are responsible for their own disclosures to customers regarding their use of the App in their stores.

## 6. Data Retention

We retain personal data only for as long as reasonably necessary to provide the App to the merchant, maintain booking and operational records, comply with legal obligations, resolve disputes, and enforce agreements.

The App applies the following operational periods:

- staged booking and identification uploads that are not attached to a completed booking are deleted after 48 hours
- identification uploads attached to a rental booking are removed 30 days after the rental end date
- personal fields on completed, cancelled, refunded, or archived rental bookings are redacted 730 days after the rental end date
- personal fields on past try-on appointments are redacted 180 days after the appointment date
- protected-data access audit logs, which do not contain customer field values, are deleted after 400 days
- customer data is redacted when required by a verified Shopify customer-redaction webhook
- shop-scoped data is deleted when Shopify sends the shop-erasure webhook following uninstall

The App may retain non-identifying operational and financial booking records
after personal fields have been redacted. A restored production backup is
processed through the same retention controls before normal operation resumes.

If a merchant requests deletion of data and we are able to verify the request, we will process it in accordance with applicable law and Shopify requirements.

## 7. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information processed through the App.

These safeguards include:

- encrypted connections in transit over HTTPS/TLS
- AES-256 encryption at rest for the production Render Postgres database and its backups
- limited internal access on a need-to-know basis
- named-account, strong-password, and multi-factor authentication requirements for staff systems
- protected-data access logging that excludes customer field values
- automated personal-data retention and environment-separation controls
- Shopify privacy compliance webhook handling for customer and shop data requests

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

## 8. International Transfers

Our service providers and infrastructure may process data in countries other than the merchant's country or the customer's country, including the United States. By using the App, merchants understand that data may be processed in these locations subject to applicable safeguards and provider controls.

## 9. Customer Privacy Rights

Depending on applicable law, individuals may have rights regarding their personal data, including rights to:

- request access
- request correction
- request deletion
- object to or restrict certain processing

For Shopify-connected stores, privacy-related requests may also be submitted through Shopify processes. The App is configured to respond to Shopify privacy compliance webhooks, including customer data request, customer redaction, and shop redaction events.

## 10. Merchant Responsibilities

Merchants are responsible for:

- ensuring they have a lawful basis to collect and use personal data through their stores
- providing any required notices or consents to their customers
- configuring the App in a manner that aligns with their legal obligations
- reviewing and publishing their own store privacy policy and customer-facing terms

## 11. Children's Privacy

The App is intended for business use by merchants. We do not knowingly design the App to collect personal data directly from children.

## 12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we may update the date at the top of this policy and take other appropriate steps where required.
